Downgraded Populations Information

As of November 2022, UW-IT is evaluating the previously announced UW Microsoft service level changes and the information on this page may not be accurate. Further information will be communicated when available. Please contact help@uw.edu with any questions.

Overview

Tentatively, all UW Office 365 accounts not associated with eligible populations will be downgraded to the UW Microsoft Standard service level in June 2024. We are re-evaluating this in 2023.

The UW Office 365 accounts belonging to the following populations will be downgraded:

If you are unsure about the population you fall within, please see the Manage UW NetID Resources page and click the + (plus) sign next to “Affiliations” to verify your affiliation. Refer to the Affiliations page for more information about the assigned Microsoft Service Level, or contact help@uw.edu.

*To verify the type of Shared NetID, review the “Supplemental, [identifier] (Shared NetID)” entries on the Affiliations information page.

Changes to UW Office 365 services for downgraded accounts

The following table lists the features that will be removed or reduced when UW Office 365 accounts are downgraded to the UW Microsoft Standard service level.

1Office 365 ProPlus for PC and Mac will no longer be available after the downgrade. Users will have access to Office Online applications for the webOffice for iOS and Android, and Office activated via KMS on UW owned systems.
2Conditional Access/2FA: Users which have enabled “Opt in to use 2FA on the web” will lose the Microsoft licensing required to trigger 2FA when using their UW Microsoft account. 2FA prompts for their UW Microsoft account will continue for some undetermined period, but will stop when UW-IT has fixed the mechanisms currently used.
3Teams Dataverse and Virtual Agents service is no longer available after the downgrade.
4Bookings service is no longer available after the downgrade.
5Microsoft Editor premium features are no longer available after the downgrade.
6Exchange Online Mailbox limit is reduced from 100GB to 50GB. Content over the limit will need to be removed prior to the downgrade to ensure the account is not locked (incoming messages sent to the full mailbox will bounce back an error to the sender and will not be received).
7Send Microsoft 365 Encrypted Email is no longer available after the downgrade and will require using another service to send encrypted emails.
8OneDrive for Business Storage capacity is reduced from 5TB to 1TB. Any drives with content over the new 1TB limit will need to find other storage solutions and/or eliminate excess prior to downgrade.
9Whiteboard is no longer available after the downgrade.
10eDiscovery service is no longer available after the downgrade. UW-IT may apply a temporary service level as needed to meet compliance or legal requirements, but will also seek reimbursement from respective departments.
11Proactive Threat Protection service is no longer available after the downgrade.
12Incident Investigation service is no longer available after the downgrade.
13Data encryption and protection service is no longer available after the downgrade.

Action required

Departments can order upgrades to UW Microsoft Advanced service level for individual UW Office 365 accounts at a cost of $110 per account. Please use the UWare Microsoft Order Form to start the upgrade request.

OneDrive for Business Storage capacity is reduced from 5TB to 1TB. Any drives with content over the new 1TB limit will need to find other storage solutions and/or eliminate excess prior to the downgrade. If cleanup does not occur prior to the service level change, the drive will become read-only after 90 days from the date of change, and the account will be locked after nine months has passed.

Exchange Online Mailbox limit is reduced from 100GB to 50GB. Content over the limit will need to be removed prior to the downgrade to ensure the account is not locked (incoming messages sent to the full mailbox will bounce back an error to the sender and will not be received).

Technical details

In some cases, the impact of the service level downgrade is a potentially bigger problem for certain individuals or departments than others. The information below provides additional technical details for legal, compliance, or functional considerations that should be evaluated.

If there are any questions on the potential impact of the service level change, please start by contacting your department IT or the personnel in charge of your department’s computing and technology services.

  • No 2FA on the Microsoft account. This includes both the Duo based Opt in to use 2FA on the web, as well as the ability to enroll with Azure MFA when an external organization requires it to get access to their online resources.
  • Exchange Online Mailbox limit is reduced from 100GB to 50GB. Content over the limit will result in a locked mailbox account. All incoming messages will receive an error indicating the message could not be delivered, and the recipient will not receive a copy of the message even if the mailbox is later brought under the 50GB limit.
  • OneDrive for Business Storage capacity is reduced from 5TB to 1TB. Any drives with content over the new 1TB limit will need to find other storage solutions and/or eliminate excess prior to downgrade.
