Request Permission and Access Data

Whether you get data via an Enterprise Web Service (EWS) API, a query in the Enterprise Data Warehouse (EDW), or a tool that leverages data from the EDW, you need permission to access the data.

Learn how to get permission to access various systems and data sources at the UW.

BI Portal and Enterprise Data Warehouse

You need permission to access reports and visualizations in the BI Portal or query the Enterprise Data Warehouse (EDW). In most cases, permissions to these resources are managed with two UW standards—security roles and ASTRA. For more information about these standards, refer to Data Security.

To request access for the first time, update your existing access, or gain access to a report with unique permissions, refer to the instructions below.

Note: The BI Portal report catalog includes Workday Finance reports and access to these reports is managed by security roles. To determine which security roles have access to a specific Workday Finance report, display the report detail page in the BI Portal and open the Security Information tab. If your Workday security role is not listed, please request elevated access from your manager.

You have already requested access, but still can’t access the report you need in BI Portal… Display the report in the BI Portal and refer to the Interpretation tab to determine if there is a special permissions process:

If you have tried the above methods, but still don’t have access to the data you need, email help@uw.edu to request support. Make sure to include either “EDW Support” or “BI Portal Support” in the subject line—whichever is applicable.

Automated Software Access Process

Requests for system or application direct access to the EDW requires that the system owner obtain a UW Application NetID Account, as documented in DMC Guideline 1017.

Enterprise Web Services

In order to use Enterprise Web Services, you’ll need to arrange a consultation with UW-IT about your need and desired use. We can determine what APIs you need access to, grant you permission to use the APIs, and get you started. Enterprise Web Services are used by software and applications to access data; individuals cannot use the web services. Advanced knowledge of API usage, software development, and data ecosystems is usually necessary to leverage web services.

Tableau

You don’t need to have a Tableau license or be a developer to begin using Tableau to analyze UW data. We partner with organizations across campus to build institutional dashboards using Enterprise Data Warehouse (EDW) data and Tableau Software that provide trusted answers to the most common questions about UW.

If your needs include building data tools like reports and dashboards, you will need to get a license for Tableau Desktop or Tableau Server to fully utilize the tool and build your own visualizations. Some Tableau licenses are available to UW users at a reduced cost. For more information, refer to Tableau Product Licensing.

Knowledge Navigator

You do not need to be granted permissions to access Knowledge Navigator. Knowledge Navigator is a web-based information source that is openly available. It is your guide to UW data and information and has terms and data definitions for most data sources from the UW.

Access the Data

Once you have the appropriate permissions, you can use the applicable tools to access the data.
