Receiving and Sending Voicemails

You can receive and send voicemails from your voice mailbox. To do so, first access the voicemail system by phone or on the web, following the Accessing the Mailbox instructions.

Reviewing Messages

Reviewing messages by phone

The voicemail system gives you several options for handling the messages in your mailbox.

To review messages from a phone:

  1. Access voicemail by phone following the Accessing Your Voicemail instructions.
  2. Press [1][1] to listen to a new message.
  3. Press [1][5] to listen to saved messages.

Press [3][3] to Skip to the end of a message while listening to a message.

After reviewing a message, you have the following options:

  • Press [#] to skip to the next message.
  • Press [4] to replay this message.
  • Press [5] to hear the sender and send time of this message..
  • Press [6] to forward a copy of this message.
  • Press [7] to delete this message.
  • Press [8] to reply to the sender.
  • Press [9] to save this message.

Reviewing Messages from the Web

You can also review the messages in your mailbox using your desktop computer or laptop, through Web PhoneManager.

To review messages from a computer:

  1. Log in to Web PhoneManager by following the Accessing Your Voicemail instructions.
  2. On the left, select the Home page.
  3. On the top:
    • Select the Inbox tab to view new messages.
    • Select the Saved tab to view saved messages.

The page now shows a list of new or saved messages in your mailbox. To listen to a message, first select the message by clicking on it. Then, use the play button on the right to listen to it.

After reviewing a message, you have the following options:

  • Click on Live Reply to call back the sender using your UW phone.
  • Click on Reply to record a message to reply to the sender using your UW phone.
  • Click on Forward to forward a copy of this message.
  • Click on Mark Unread to mark the message as unread.
  • Click on Save to save this message.
  • Click on Delete to move this message to Trash.

Sending Messages

Sending Messages by Phone

You can send a voicemail to another voice mailbox, a distribution list, or a guest voice mailbox.

To send a voicemail from a phone:

  1. Access voicemail by phone following the Accessing Your Voicemail instructions.
  2. Press [6].
  3. Record your message.
  4. Press either:
    • [#] to store this message, or
    • [1] to replay this message.
  5. Enter the 7-digit recipient mailbox number.
    • This may be the recipient phone number without the 3-digit area code.
    • If you receive a message that the mailbox does not exist, the recipient may not have set up their voice mailbox or not have a mailbox.
  6. Choose one of the delivery options suggested by the system.
  7. Press [#] to send this message.
  8. If sending to multiple recipients, repeat steps 4 through 6 for each additional recipient.
  9. Press [*] to return to the Main Menu.

Sending Messages from the Web

You can also send voicemails using your desktop computer or laptop, through Web PhoneManager.

To send a voicemail from a computer:

  1. Log in to Web PhoneManager by following the Accessing Your Voicemail instructions.
  2. On the left, select the Home page.
  3. On the top, select the Inbox tab.
  4. Click on New in the top-left corner. This will open the new message page.
  5. To record the message using your UW phone, click on the Record button.
    • The voicemail system will call your UW phone associated with your mailbox.
    • Pick up the call and record your message after the tone.
    • When you are done recording your message, click on the Stop button.
    • To replay your message, stay on the line and click on the Play button.
    • To re-record your message, click the Record button again.
  6. Search for message recipients by entering their name or mailbox number into the input box under the Message Recipients section, then click Search. Available search keywords include:
    • [Last name]
    • [Last name], [First name]
    • [7-digit mailbox number]
  7. Mailboxes matching the search keyword will appear under Available Mailboxes. To add a mailbox as a recipient, click on the mailbox to select it, then click Add →.
    • If no mailboxes appear under Available Mailboxes, double check that you have entered the correct name or mailbox number, or try changing the search keyword.
    • Recipient mailboxes will appear under Selected Mailboxes. To remove a recipient mailbox, click on the mailbox to select it, then click ← Remove.
  8. To send the message, click on Send in the top-left corner.
