Migrate Shared UW NetID UW Windows Live account email to alternate email service

UW Windows Live (also known as UW Outlook Live, Live@edu, MyUW.net) is a cloud-based email and productivity platform service that was previously offered on a limited basis to some UW students and staff, and has since been replaced by UW Office 365.  UW Windows Live will be retired effective December 31, 2018.

The steps below must be completed no later than December 31, 2018.

Please note: UW-IT has arranged for a third party consulting firm called Comparex to assist with email account migrations from Shared UW NetID UW Windows Live accounts at no cost.  To migrate email messages from your Shared UW NetID’s UW Windows Live account using Comparex, follow these steps:

  1. Find the Shared UW NetID(s) for which you are the owner or administrator
  2. Verify UW Windows Live Account status for your Shared UW Netid(s)
  3. Check the Shared UW NetID account(s) for content you want to save
  4. Provision email and productivity platform services for your Shared UW NetID(s)
  5. Migrate content
  6. Deactivate the UW Windows Live accounts for your Shared UW Netid(s).

Find the Shared UW NetIDs for which you are owner or administrator

  1. StepsActions
  2. Go to https://uwnetid.washington.edu/manage/?shared. You will see a list of Shared UW NetIDs for which you are an owner or administrator.
  3. In the upper right corner look for Manage UW NetID.
  4. Select the Shared NetID you’d like to manage and then click Go.

Verify UW Windows Live Account status for your Shared UW Netid(s)

  2. On the UW NetID Manage Resources page for your Shared UW NetID(s) on the left side of the page, select UW Windows Live.
  3. Under UW Windows Live Account Information, review the account status.
    • If either the UW Windows Live Status or UW Outlook Live Status are “Active” there may be content in the account you need to take action to preserve (if desired).
  4. Review the Email Forwarding section and the MyUW.net Forwarding section to confirm where email sent to your @u.washington.edu, @uw.edu, and @myuw.net email addresses is delivered.
    • If you see “Delivered to your UW Outlook Live Inbox” or “Delivered to your UW Outlook Live Pilot Inbox” this account is being used to send and receive email.
    • If you see “Delivered to…” any other email service or email address, you are not actively using this account to send and receive email.

Check for content you want to save

Check the UW Windows Live account for your Shared UW NetID for any content (email, calendar events, contacts, folders, files, etc.) that you might want to move to an alternate email service.

Note: If you are already logged in with your personal UW NetID, you may need to open a different browser in order to login to UW Windows Live with a Shared UW NetID.

  1. Go to UW Outlook Live
  2. Login with your Shared UWNetID@myuw.net email address and your Shared UW NetID UW Windows Live (@myuw.net) account password.  This could be different than your Shared UW NetID password. 
    • If you are unable to login and need to change your Shared UW NetID’s UW Windows Live account password, first review Microsoft’s password requirements here, then click here and click Change UW Windows Live Password at the bottom of the page to update your password.  It may take up to 15 minutes for your new password to take effect.  Once you are able to login to your @myuw.net account, proceed to Step 3.
  3. Review and clean up mailbox content, i.e. delete old email messages you don’t need, empty your Trash, etc.

Provision email and productivity platform services for your Shared UW NetID(s)

Before migrating your Shared UW NetID’s UW Windows Live account email to UW Exchange Online (UW Office 365) or UW Gmail (UW G Suite), you’ll first have to provision these services to your Shared UW NetID using the Provisioning Request Tool (PRT).

Please note: Only the owner of a Shared UW NetID is authorized to provision services to the Shared UW NetID.

Migrate content

Please work with your former home department or unit to remove and retain official UW records if you have them, taking care to preserve UW records according to records management guidance.

  1. Determine which UW email service to use – UW Exchange Online (UW Office 365) or UW Gmail (UW G Suite)
    • **PLEASE NOTE:** Your department or unit may require all personnel to use a specific UW email service and may already be planning to migrate your UW email; check with your department/unit’s local IT support before migrating your UW email.
  2. Follow the Comparex supported migration instructions to migrate your Shared UW NetID email to either UW Office 365 or UW Gmail, at no cost.

Deactivate your UW Windows Live account

Once you have determined that you do not need your old email, or have successfully migrated it to your current mailbox, deactivate Windows Live account by doing the following:

  1. Navigate to the UW NetID Manage Portal. On the left side of the page, make sure that the Computing Services tab is selected.
  2. Select the Windows Live checkbox.
  3. At the bottom of the list of services, click Unsubscribe.
  4. To confirm account deactivation, click Finish.
