Migrating from UW Gmail to personal Gmail

Please note that ALL messages will be transferred from your UW Gmail  account to your personal account. Every message (except for SPAM and Trash) will be put in your inbox and WILL NOT retain their original labels. This includes sent messages. This process also can take a very long time depending on how many messages you have in your UW Gmail account. Please plan accordingly.

  1. Enable POP for your UW Gmail email account
    1. Log in to http://gmail.uw.edu/
    2. Click on the gear icon located in the upper right corner, and select Settings
    3. Click on Forwarding and POP/IMAP
    4. Select Enable POP for all mail, and click Save changes
  2. Allow Less Secure Apps
    1. From your UW Gmail inbox, click on the grid icon, and then select My Account
    2. Under Sign-in & Security, select Apps with account access
    3. If it’s not turned on already, make sure Allow less secure apps: is turned ON
    4. Log out of your UW Google Account
  3. Set Separate Password for UW Gmail
    1. Log in to https://uwnetid.washington.edu/manage/?google
    2. Near the bottom of the page, click Set separate password
    3. Enter your UW NetID password (recommended), confirm password, and click Save
  4. Import your UW Gmail messages in to your Personal Gmail inbox
    1. Log in to your Personal Gmail account
    2. Click on the gear icon in the upper right, then select Settings
    3. Go to the Accounts and Import tab
    4. Find the Check mail from other accounts section and click on Add a mail account
    5. In the pop up box, enter your UW email address (your_UWNetID@uw.edu)
    6. Click on Next
    7. Select Import emails from my other account (POP3)
    8. Click on Next
    9. Enter the mail settings in the pop up box.
      1. Username: your_UWNetID@uw.edu
      2. Password: the separate password set in section C
      3. POP Server: pop.gmail.com
      4. Port: 995
      5. DO NOT check Leave a copy of retrieved message on the server
      6. DO check Always use a secure connection (SSL) when retrieving mail
      7. DO check Label incoming messages

      8. Click Add Account.
    10. Click Yes when it asks if you would like to be able to send mail as your_UWNetID@uw.edu
    11. Click Finish.

Gmail will begin to transfer your UW emails to your personal account. A new label will appear as your_UWNetID@uw.edu that will label all of your UW messages.
