Provision UW-IT computing services to Shared UW NetIDs

UW-IT computing services, such as UW G Suite and UW Office 365, are automatically provisioned for most UW employee NetIDs.

UW-IT computing services are not automatically provisioned for Shared (Departmental or Course) or Sponsored UW NetIDs, though UW-IT computing services can be provisioned for these accounts by UW employees who agree to use these accounts in accordance with to UW Appropriate Use policies, and who are the owner of a Shared UW NetID.

Please note: UW Medicine workforce members are prohibited from forwarding their UW email to UW Gmail (UW G Suite), as UW Gmail (UW G Suite) is not HIPAA-compatible.

Why don’t UW affiliate, Sponsored, and Shared UW NetIDs have default access to UW-IT computing services such as UW G Suite and UW Office 365?

To reduce risk to the UW, the UW Attorney General’s office has advised UW-IT that an agreement to use UW-IT services such as UW G Suite and UW Office 365 according to UW-IT Appropriate Use guidelines needs to be acknowledged by 1) the party provisioning the use of UW-IT computing services to UW affiliates and 2) UW affiliates themselves.

What UW-IT computing services are available to be provisioned?

Currently, only UW G Suite and UW Office 365 are available to be provisioned using the Provisioning Request Tool (PRT).  If you need access to any other UW-IT computing services, please contact help@uw.edu.

Provision UW-IT computing services to a Shared UW NetID

By requesting access to UW-IT computing services for a Shared UW NetID, you are confirming that it is appropriate for that Shared UW NetID to have access to UW-IT computing services in order to conduct work relevant to the University of Washington. UW-IT’s Appropriate Use policies apply to the use of UW-IT computing services, and UW-IT computing services may be subject to public records and other compliance-related disclosures.

If you provision access to UW-IT computing services for a Shared UW NetID, then you have the following responsibilities:

  1. Use of the UW-IT services provisioned to the Shared UW NetID should respect others and must not interfere with the operation of UW computers and networks; and
  2. If your department or organizational unit has specific rules about use of UW-IT computing services that are unique to your department or unit, then you must use the Shared UW NetID in accordance with these rules.

What are the responsibilities of those who request provisioning of UW-IT computing services to a UW affiliate?

Washington state laws, policies, and audit practices, as well as federal and state contract-compliance laws to which the UW is subject, require that state resources (e.g., computers and network) be used only for University-related activities. All University policies regarding the appropriate use of state resources and responsible personal conduct apply to the use of its computing and networking resources. In addition, use of computing resources must comply with the restrictions and acceptable practices established specifically for these resources. Why are owners of UW Shared NetID the only individuals allowed to provision access to UW G Suite and UW Office 365? Why can’t Shared NetID admins provision access?

The UW Attorney General’s office has determined that only the owner of a UW Shared NetID can acknowledge the Appropriate Use guidelines and take responsibility for proper use of the UW-IT services provisioned to the UW Shared NetID.

Please note: To provision computing services to a Shared UW NetID, you must be the owner of the Shared UW NetID.

Provision UW-IT computing services to a Shared UW NetID using the Provisioning Request Tool (PRT) link below.  Click the link, login with your UW NetID, then click the Provision services for Shared UW NetIDs you own tab to view your Shared UW NetID(s).

Select the UW-IT computing services (e.g. UW G Suite, UW Office 365) you’d like to provision to your Shared UW NetID(s), then click the Provision services to selected Shared UW NetIDs button in the lower left. You will receive a notification email with instructions on how to access the UW-IT computing services you have provisioned for your UW Shared NetID(s).

Current UW employees can review and revoke access for the Shared UW NetID(s) they have provisioned UW-IT computing services to by visiting https://provision.uw.edu and selecting Provision services for Shared UW NetIDs you own.
