Report Update: Undergraduates Eligible to Register – Removed Applied to Graduate Filter

The Report Prioritization Group released an update to the Undergraduates Eligible to Register. This post summarizes those changes.

Change Summary:

  • Based on user feedback we have removed the Applied to Graduate (Y/N) Filter, and the applied to graduate column from the Undergraduates Eligible to Register report. 

More Detail: 

  • We received feedback from several users that the Y/N field was returning unexpected results. We were told the the Y or N was clear, but what wasn’t clear was the logic used to derive the flag. 
  • We decided to replace the Y/N flag with the actual Year and Quarter (e.g. Autumn 2020) when the student has applied to graduate. This will provide more detail for users than the simple Y/N field did. 
  • The Student Applied to Graduate field and Year Quarter will be added in the next release of updates to the report. We are currently working on implementing these changes. 
  • In the next release, we will also include several more enhancements to the report, including:

New Report and Data Release: Cost Share Commitments and Contributions

Now Available in the EDW: Cost Share Commitments and Contributions data and report 

Do you find managing Cost Share with the Unmet Cost Share Report difficult because of the way commitments and contribution details are organized? If you could, would you like to dive deeper into how Cost Share commitments roll up to the Financial Organization at the Dean, Major, Department, and Subdivision levels?  Would it make your life easier if you could filter out closed Cost Share Commitments or analyze data by the Award End Date? 

Thanks to the partnership between Information Management team in UW-IT and Kirsten DeFries, Andra Sawyer, and Matt Gardner of the Post Award Fiscal Compliance team, access to this information and more is now available in the EDW, BI Portal, and Knowledge Navigator. 

New Report:
The new Cost Share Commitments and Contributions report, available in the BI Portal, shows summary information on all active Sponsored Awards with a Cost Share Commitment entered into the Cost Share Summary system. 

The report gives users detailed and summary information and the ability to analyze Cost Share commitments by the four levels of the Org Code (Dean, Major, Department, Subdivision), Award PI, and days until award end date. 

New Data:
The report sources all of the data from a new table in the EDW. The new EDW data sourced from the Sponsored Award as entered into the SAGE suite and the Cost Share Summary system. 

This data can be accessed via ODS.sec.CostShareBalancePeriod. You will find fields that relate revenue source, object code, expiration days, commitment descriptions, Cost Share type (mandatory or voluntary), and more. The table can be easily joined using budget number or account code to other financial tables within ODS.

Report Update: Time Schedule Information

The Report Prioritization Group released important updates to the Time Schedule Information Report. This post summarizes those changes.

Change Summary:

  • In response to user inquiry, we investigated and updated the data source for the “students denied” field in the report.
  • Based on input from the Office of the University Registrar, the report was updated to source students denied information from the sr_unmet_request table, instead of the timeschedule.students_denied column.

Report Update: Research Budget Expenditures

Enterprise Reporting and Analytics has partnered with the Office of Research Information Services to release several updates to the Research Budget Expenditures Report. This post summarizes those changes.

Change Summary:

Based on user feedback, we made the following changes:

  • Budget Name Filter: An optional filter was added to the report that allows users to filter the report by budget name.
  • Org Unit Nbr Column: The column previously displayed an organization’s 7 digit department organization number. The column now displays the full 10 Digit Financial Organization Number (Organization Code).
  • Column Sort: You can now sort many of the columns in the report with the click of a button and without having to export to Excel. The sort feature works by clicking the two opposing triangles in the column header row.

Report Update: Class List By Curriculum Course Section

The Report Prioritization Group released important updates to the Class List By Curriculum Course Section Report. This post summarizes those changes.

Change Summary:

Based on user feedback, we made the following changes:

  • Added Pending Major  into the report.
  • Added Pending Major Effective Quarter to report.
  • Fixed minor campus display bug at the report footer information.
  • Updated definition at BI Portal Interpretation tab with added fields.

Report Update: Learning Spaces Policy

The Report Prioritization Group released important updates to the Learning Spaces Policy Report. This post summarizes those changes.

Change Summary:

Based on user feedback, we made the following changes:

  • Bug Fixes:
    • Fixed a bug that was causing the report to drop sections with a null in time schedule meeting time.
    • Also removed 250 clause. These classrooms are part of Learning Spaces Policy, and has to be scheduled directly with the TS office.
